Prerequisites #

Ensure your computer meets the minimum requirements outlined below before installing 3CX Audio Scheduler,

PREREQUISITE PURPOSE
3CX Version V203CX Audio Scheduler is designed to work seamlessly with this version for enhanced features and performance.
Windows 10 or above / Windows Server 2012 or aboveThese operating systems provide the necessary environment for the application to run efficiently.
IIS Features and Configuration – VoIPToolsIIS is needed as a web server to host and manage web-based applications and services.
.NET Framework 4.7.2 (Web Installer)This framework provides essential components for running and developing applications.
VoIPTools Universal UpdaterThis component is necessary for updates, ensuring the application remains current and functional.
Microsoft SQL Server 2016 or above (Including the free SQL Express edition)3CX requires Microsoft SQL Server 2016 or later for database management.
Static IP for VoIPTools and 3CX serversThis is to ensure proper two-way communication, both the 3CX server (Relay) and the VoIPTools server. Dynamically assigned IP addresses are not supported. Additionally, it is recommended to use HTTPS for secure communication, which requires a FQDN for SSL/TLS certificate validation between the VoIPTools server and the Relay.
Port number 5950 opened on your devicePort 5950 is a specific network port used by 3CX for communication purposes. Opening this port on the device’s firewall allows incoming and outgoing traffic to pass through, enabling the 3CX software to send and receive data over the network effectively.

NOTE:

When installing IIS, be sure to install Basic Authentication, .Net Extensibility, and ASP.Net 4.X

Installation overview #

DOWNLOAD SOFTWAREThere are several prerequisites that must be installed prior to installing the 3CX Audio Scheduler. These prerequisites include Microsoft Internet Information Server (IIS) and Microsoft SQL Server
INSTALL PREREQUISITESYou must install several prerequisites before installing the 3CX On Call Manager. The Advanced Installer identifies and installs these applications automatically.
INSTALL 3CX AUDIO SCHEDULERThis User Guide contains step-by-step instructions to successfully install 3CX Audio Scheduler. Begin by extracting the installer from the downloaded zip file (Step 1 above), then run the setup program named AudioSchedulerInstaller.exe
REGISTER YOUR SOFTWAREYou must register your license key to activate 3CX Audio Scheduler. Your license key is included in your order confirmation email and can also be found in your order history on our website.

Step By Step Installation Procedure #

The following section guides you through a detailed walk-through of the installation process:

Step 1:  Download ‘3CX Holiday Importer’.   #

Find the software download link in the Order Confirmation Email, or you can download the application by following the procedure,

  1. Open your browser and go to the VoIPTools official website or click here to get redirected to the website.
  2. Search for the Audio Scheduler application and click the Download button to download your application.

Step 2:  Install Prerequisites #

Click on the software installer downloaded in Step 1. The installation wizard will automatically identify the prerequisites and assist you with each installation required to 3CX Power Dialer. It includes .NET Framework (Web Installer), SQL Server Express (Web Installer), and SQL Server Management Studio.

  1. Click the downloaded installer executable to launch the Prerequisites Setup Wizard and click Next.

  1. In the Prerequisites window, install all the required prerequisites identified by the installer, or select/ unselect the applications based on your requirements and click Next to continue.

The Advanced Installer installs the required prerequisites. This may take several minutes to complete.

NOTE:

The installer will identify any prerequisites needed. It is recommended that you allow the installer to automatically install and configure the required prerequisites. Once all the prerequisites are installed, you can continue with the tool install.

  1. In the Microsoft SQL Server License Terms click the Accept button to acknowledge the license terms and continue.
    • This page appears if you do not have SQL Server Express preinstalled in your device.

  1. View the SQL Server Media target location in the Media Location field. If required, you can click the Browse button to change the location. Click Install to begin the installation of SQL Server Express.

SQL server installation is in progress. This may take several minutes to complete.

  1. Click the Close button once the prerequisites are installed.

  1. Click Yes in the Confirmation Message Box to reboot the computer.

Step 3: Install 3CX Audio Scheduler #

  1. On the Welcome screen, click Next to start installing 3CX Audio Scheduler.

  1. On the Installation Folder window, the Folder field displays the location where the ‘3CX Audio Schedulerr’ will be installed.
  2. Click Next to continue with the installation.

NOTE:

You cannot change the installation folder

Step 4: Test Relay Settings #

  1. In the 3CX Relay Services window, in the Relay Host field, enter the FQDN of your 3CX server.

NOTE:

Do not include https:// to the Relay host data.

  1. Enter 8801 in the Relay Port field.
  2. Enter the public key you copied from VoIPTools Relay services in the Public Key text area.

  1. Click the Test Relay Settings to confirm 3CX Audio Scheduler can communicate with the Relay services running on the 3CX server.
  2. If the 3CX Audio Scheduler is successfully able to communicate with the Relay services that run on the 3CX server, a Success message box appears. Click OK. If the test fails, you will not be able to continue until communication with the relay is established.
  3. Click Next to continue with the installation.

NOTE:

  • You must set the Relay Port to 8801.
  • If the Relay test fails, you cannot continue the installation until you establish communication with the Relay. If the test was unsuccessful:
    • Confirm you have the correct firewall port open (default TCP 8801) on the 3CX server and the firewall protecting the 3CX server.
    • Confirm that you have entered the correct FQDN for the 3CX server.
    • Confirm that the 3CX Power Dialer and Relay use the same port and protocol.

Step 5: Configure the database #

When configuring the 3CX Audio Scheduler, select an existing Microsoft SQL Server instance in your environment.  The database server can be a remote SQL Server, or a local instance running on the VoIPTools server.

You can set up the SQL database using SQL Authentication or Windows Integrated Authentication.

SQL Authentication #

  1. Enter your server’s name in the Server field.
    •  If using the free SQL Express Edition, the default SQL Instance name is SQLExpress.

NOTE:

  • If you want to use ‘SQL Authentication’, then install SQL Server in ‘Mixed‘ mode.
  • If SQL Server is installed on a server other than the server where 3CX Exporter is installed, you will need to configure SQL Server to allow remote connections.
  1. Enter your credentials in the Username and Password fields.

NOTE:

Make sure that you select a SQL Login that has sufficient permissions to alter the database and create SQL objects.

  1. Select or enter the 3CX Emergency Notifier in the Database dropdown.

  1. In the Test SQL Connections section, click the Tool button to test the connection and click OK in the Test Results popup box.

Windows Integrated Authentication #

  1. To use Windows Integrated Authentication check the Trusted Connection (Windows integrated authentication) checkbox.
    •  The VoIPTools installer will create a local Windows user name as “VoIPToys” and give you sufficient rights to this user to create/update the SQL database.

  1. In the Test SQL Connection section, click the Tool button to test the connection.
  2. Click the Next button which gets enabled when the database connection is successful.

NOTE:

We encourage you to use SQL Authentication rather than Windows authentication.  Many of our tools leverage a Call Flow Designer (CFD) application running on the 3CX.  Frequently our CFD applications require access to a SQL database.  If the 3CX server and the database server are not in an Active Directory domain, Windows authentication will fail.  To use SQL authentication, your SQL Server must be configured to run in “Mixed Mode”.  If you installed SQL Server with one of our tools, we configure SQL in “Mixed Mode”.

Step 6: Installing 3CX Audio Scheduler #

  1. On the Ready to Install screen, press Install to install 3CX Audio Scheduler.

  1. Click Finish to complete the installation.

Step 7: Login to the Web Application #

Follow the procedure to log in to your software,

  1. Double-click 3CX Audio Scheduler on your desktop to open the web application.
  1. In the Login page, do the following
    • In the Extension field, enter your 3CX extension number.
    • In the PIN field, enter your 3CX voicemail PIN.
    • Click the Login button to log in to your account.

NOTE:

Only managers can log in to the application. Users are not authorized to access to access the application.

3CX Audio Scheduler Web Portal #

Application Overview #

This section gives you an overview of the user interface of the web application.

Left Side Panel – Expand/Minimise buttonThis button lets you minimize the menus in the left side panel to have more space for the main content.
Left Side PanelThe Left Side panel consists of all the tabs in the 3CX Custom Presence.
Logout ButtonYou can log out of the web application using the logout button.
Support Resources ButtonGives you basic information about the application and contact details of the VoIPTools support team.
Company LogoHere you can insert your company logo. Click here to learn how to insert and change your company logo.
Header Prefix TitleHere you can insert your company name. Click here to learn how to insert and change your company name.

Left Side Panel #

The Left Side Panel consists of all the menus of the web application. You can minimize the Left Side Panel to enlarge your main content.

The left side panel consists of the following menus,

Settings menuThe Settings Menu allows users to configure essential application settings through four main tabs: Resource Settings, TTS Settings, WAV File Settings, and Page Dial Code settings. The Resource Settings tab facilitates the addition of resources and the assignment of audio files. The TTS Settings tab enables the creation and management of text-to-speech audio files. The WAV File Settings tab allows for the upload and deletion of local audio files. The Page Dial Code tab configures auto-answer functionality for phones.
Scheduler menuThe Scheduler Menu facilitates efficient appointment management, allowing users to schedule, edit, and delete appointments. Key features include a Date Selection tool for viewing and modifying appointments by date, a Resource Dropdown for selecting resources, and various display options for viewing schedules in different formats. Users can create both simple and advanced appointments, set recurring appointments daily, weekly, monthly, or yearly, and adjust playback speed. This comprehensive scheduling tool enhances organization and productivity.
Site Settings menuThe Site Settings feature enables comprehensive customization of the application’s branding, allowing you to adjust the header’s gradient color, grid color, logo, and header title prefix. These customizations personalize the application to align with your company’s branding, enhancing the overall user experience. By tailoring these visual elements, you ensure the application’s appearance reflects your company’s identity, creating a cohesive and professional interface for users.
License menuThe License Tab serves to authenticate and manage your software license key through the registration process with VoIPTools. By registering, users ensure access to key benefits: prompt replacement of lost keys, timely notifications of product updates, and reminders for key renewal to maintain uninterrupted service access. It is essential to note that each license key permits installation on a single computer, emphasizing compliance with licensing terms and ensuring proper utilization of the software.

Settings Menu #

In the Settings Menu, you can configure essential application settings through four main tabs: Resource Settings, TTS Settings, WAV File Settings, and Page Dial Code Settings. In the Resource Settings tab, you add resources and assign audio files. The TTS Settings tab allows you to create and manage text-to-speech audio files. In the WAV File Settings tab, you upload and delete local audio files. The Page Dial Code tab lets you configure auto-answer functionality for phones.

Resource SettingsIn the Resource Settings tab, add resources and assign audio files using TTS or by uploading from your device.
TTSThe TTS tab lets you create audio files that can be assigned to your resources.
Open AI The features let you connect to OpenAI, generate, customize, play, and download audio from text, with waveform controls.
Wave File SettingsIn the .WAV File Settings tab you can upload the audio files from your local device.
3CX Dial Code SettingsThe Paging Dial Code lets your phone auto-answer, provided it is correctly provisioned in the 3CX Console Management.

Resource Settings #

The Resource Settings tab lets you to add resources and assign audio files to the resources. Before you proceed you must add audio files either with 3CX Audio Scheduler’s inbuilt TTS software or you can upload audio files from your device.

  1. Expand the Resource Settings tab and click the Add button to add the resource.

  1. In the Resource Name field enter the name for your resource.
  2. In the Extension dropdown, select the extension.
  3. In the File Name dropdown, select the audio file you want to assign to the resource. You can either upload the audio file from your device or create a new audio file TTS.

  1. Select the Dial Code box to automatically receive the incoming calls or unselect it to manually receive the incoming calls.

NOTE:

The Dial Code feature applies only to normal extensions. For paging extensions, incoming calls are always auto-answered, even if you deselect the Dial Code checkbox. For ring groups, you must manually answer incoming calls, as the auto-answer feature does not work, even if you select the Dial Code checkbox.

TTS Settings #

The TTS tab lets you create audio files that can be assigned to your resources.

Create New TTS #

Follow the procedure to create a new TTS audio file,

  1. Expand the TTS tab.
  2. Select the language from the Culture dropdown.
  3. Select the voice from the Voice dropdown.
  4. Enter a file name for the audio file in the File Name field.
  5. Enter the text that you want to convert to speech in the Text To Speech text box.

  1. Click the Save button to save your audio file.

View the TTS #

You can click the Play button to view the generated audio file.

Increase the Playback Speed of TTS Audio File #

Follow the procedure to increase the playback speed,

  1. Click the Play button of the audio file to view the audio file.
  2. Click to expand the Advanced Settings option.

  1. Select the Playback Speed option and set the desired speed of your .WAV file.

Open AI Settings #

The AI Configuration and Text-to-Speech Open AI features allow you to connect to the OpenAI API, generate custom audio from text, and adjust settings like voice, model, and speech speed. You can save, play, and download the generated audio, with tools to fine-tune and view the waveform in detail.

Open AI API Integration: #

  1. Click to expand the AI Configuration section.

  1. Enter your AI model in the Open AI API Model field.
  2. Enter the URL endpoint for the OpenAI API in the OpenAI API Base Adress field.
  3. Enter the unique key used for authenticating requests in the OpenAI API Key field.

  1. Click the Test button to ensure both fields are correctly filled to enable proper API integration and functionality.

Configure Open API TTS Settings #

  1. Click to expand the Text To Speech Open API section.

  1. Select the desired voice in the Voice dropdown.

    • File Name is mandatory to generate the TTS file.

.WAV File Settings #

In the .WAV File Settings tab you can upload the audio files from your local device.

Upload a .WAV File #

Follow the procedure to upload audio files from your device,

  1. Click to expand the .WAV File Settings tab.
  2. Click the Upload WAV File button to open the File Upload window.

  1. Double-click your audio file or select the audio file and click the Open button to upload the audio file.

You can view the uploaded file.

Delete .WAV File #

Follow the procedure to delete the audio file. The audio file deleted cannot be recovered.

  1. Click the Delete button to delete the .WAV file.

3CX Dial Code #

The Paging Dial Code lets your phone auto-answer, provided it is correctly provisioned in the 3CX Console Management.

Scheduler Menu #

The Scheduler menu lets you schedule appointments new appointments or delete and edit the existing appointments

Date Selection #

The Date Selection tool lets you select the date at which you want to view or modify appointments.

Whether a detailed daily schedule or a monthly overview is required, the various display formats facilitate improved time management, planning, and productivity. You can view the display area in multiple formats: Day, Week, Work Week, Month, and Timeline views.

Add Simple Appointments #

Follow the procedure to add an appointment,

  1. Select the display type using the Display Option tool.
  2. Click any day or date in the display to open the Add Appointment popup.

ALL DAY TOGGLE If the schedule is for the complete day, then check the All-day event box. If you check this box, you will observe that the time selection box (from ‘Start time’) will disappear.
START TIMEThe date and time from which the ‘On Call’ time starts for the agent
END TIMEThe date and time at which the ‘On Call’ time ends for the agent
RECURRENCEIf you want the appointment to recur, check the Recurrence box. From the available options select the appropriate value (Daily, Weekly, Monthly, Yearly, Every—day(s) or Every weekday) for the appointment to recur.
LOCATIONLocation of the agent for whom you are creating the appointment
LABELYou can label the appointments using different colors.
STATUSSpecifies the work status of the agent as busy, free, tentative, out of the office or working elsewhere. Show time as is valid for Start time to End time
RESOURCE DROPDOWNSelect the agent from the dropdown for whom you are creating the appointment.
DESCRIPTIONA short description of the scheduled appointment.

Recurring Appointment #

Recurring Appointments feature streamlines scheduling by automating repetitive appointments, saving time, reducing errors, and ensuring consistent and timely engagement for daily, weekly, monthly, or yearly events.

Recurring Appointment – Daily #

To set daily occurrences, follow the steps,

  1. In the Repeat box, select the Daily option to schedule a daily recurring appointment.

  1. Select the start date to start the daily recurring appointments.

  1. In the Repeat Every field enter the number of times you want the appointments to repeat.

  1. Set the end of the daily occurrence in any of the following ways and click the Save button to save the recurring appointment.

To end the daily recurrence after a specific number of occurrences, follow these steps:

  1. In the Repeat End dropdown, select the End After option.
  2. In the Occurrences field, set the number of occurrences.

For example, to end the daily recurring appointments after 5 occurrences, do the following,

  1. Select the End After option in the Report End dropdown.
  2. Select 5 Occurrence(s) in the Occurrences field.

NOTE:

Five occurrences means from start to upcoming 5 days.

To end the daily recurrence after a specified date, follow the steps,

  1. In the Repeat End dropdown, select the End After option.
  2. In the Date field, select the date (in the format dd/mm/yyyy) after which you want the recurring appointments to end.

For example, to end the daily recurring appointments after January 8, 2024, do the following,

  1. Select the End By option in the Report End dropdown.
  2. Select 8/1/2024 in the Date field.

The following is an example of daily recurring appointment that repeats after every two days and ends after five occurrences.

Recurring Appointment – Weekly #

To set weekly occurrences, follow the steps,

  1. In the Repeat dropdown, select the Weekly option to schedule a weekly recurring appointment.

  1. In the Repeat Every section,
    1. Select the number of weeks you want to appointment to repeat.
    2. Select the days on which you want to appointment to repeat.

  1. Set the end of the weekly recurrence in any of the following ways and click the Save button to save the recurring appointment.

To end the weekly recurrence after a specific number of occurrences, follow these steps:

  1. In the Repeat End dropdown, select the End After option.
  2. In the Occurrences field, set the number of occurrences.

For example, to end the weekly recurring appointments after 5 occurrences, do the following,

  1. Select the End After option in the Report End dropdown.
  2. Select 5 Occurrence(s) in the Occurrences field,

To end the weekly recurrence after a specified date, follow the steps,

  1. In the Repeat End dropdown, select the End After option.
  2. In the Date field, select the date (in the format dd/mm/yyyy) after which you want the recurring appointments to end.

For example, to end the weekly recurring appointments after July 17, 2024, do the following,

  1. Select the End By option in the Report End dropdown.
  2. Select 7/17/2024 in the Date field.

The following example is a weekly recurring appointment that repeats on Monday and Thursday of every week and ends after 5 occurrences.

Recurring Appointment – Monthly #

To set monthly occurrences, follow the steps,

  1. In the Repeat dropdown, select the Monthly option to schedule a monthly recurring appointment.

  1. Select the start date to start the monthly recurring appointments.

  1. In the Repeat Every section enter the number of months you want the appointments to repeat and do the following,
  • In the On Day field enter the day number at which you want the appointment to schedule on specified months.

For example, to schedule a recurring appointment on 12th of every month,

  1. Enter 1 month(s) in the Repeat Every field.
  2. Enter 12 in the On Day field.
  1. In the On The dropdown, select the day number.

For example, to schedule a recurring appointment on the second workday of every month do the following,

  1. Enter 1 month(s) in the Repeat Every field.
  2. In the On The field select the Second option.
  3. In Day field, select the Workday option.
  1. Set the end of the monthly recurrence in any of the following ways and click the Save button to save the recurring appointment.

To end the monthly recurrence after a specific number of occurrences, follow these steps:

  1. In the Repeat End dropdown, select the End After option.
  2. In the Occurrences field, set the number of occurrences.

  1. Select the End By option in the Report End dropdown.

Recurring Appointment – Yearly #

To set monthly occurrences, follow the steps,

  1. In the Repeat dropdown, select the Monthly option to schedule a monthly recurring appointment.

  1. You can set the yearly recurrence of the appointment by any of the following ways,

Follow the procedure to schedule a yearly recurring appointment on a particular date of the year,

  1. In the ON dropdown, select the month.
  2. In the Date field, set the date of month.

For example, to schedule a yearly recurring appointment that repeats on January 23 of every year, follow the procedure,

  1. In the ON dropdown, select the January option.
  2. In the Date field, set twenty-three.

Follow the procedure to schedule a yearly recurring appointment on a particular day of the year,

  1. In the ON The dropdown select the day number.
  2. In the Day dropdown, select the day.
  3. In the Month dropdown, select the month.

For example, to schedule a yearly recurring appointment that repeats on third workday of July every year, follow the procedure,

  1. In the ON The dropdown select Three option.
  2. In the Day dropdown, select the workday option.
  3. In the Month dropdown, select the July month.
  1. Set the end of the yearly recurrence in any of the following ways and click the Save button to save the recurring appointment.

To end the yearly recurrence after a specific number of occurrences, follow these steps:

  1. In the Repeat End dropdown, select the End After option.
  2. In the Occurrences field, set the number of occurrences.

For example, to end the yearly recurring appointments after 5 occurrences, do the following,

  1. Select the End After option in the Report End dropdown.
  2. Select 5 Occurrence(s) in the Occurrences field,

To end the yearly recurrence after a specified date, follow the steps,

  1. In the Repeat End dropdown, select the End After option.
  2. In the Date field, select the date (in the format dd/mm/yyyy) after which you want the recurring appointments to end.

For example, to end the monthly recurring appointments after February 7, 2031, do the following,

  1. Select the End By option in the Report End dropdown.
  2. Select 7/2/2031 in the Date field.

Edit Appointment #

Follow the procedure to edit the scheduled appointments,

  1. Click the scheduled appointment to open the View Appointment popup and click the Edit Appointment button.

  1. In the Edit Appointment Type popup,
    • Click the Edit Appointment option to edit only one appointment.
    • Click the Edit Series option to edit all the recurring appointments.

  1. In the Edit Appointment popup, make the necessary changes and click the Save button to save your changes.

Delete Appointment #

Follow the procedure to edit the scheduled appointments,

  1. Click the scheduled appointment to open the View Appointment popup and click the Delete Appointment button.

  1. In the Delete Appointment Type popup,
    • Click the Delete Appointment option to edit only one appointment.
    • Click the Delete Series option to edit all the recurring appointments.

Site Settings Menu #

The Site Settings feature provides the advantage of comprehensive customization, allowing you to personalize the application’s branding. This includes adjusting the application header’s gradient color, grid color, logo, and header title prefix. These customizations enhance the user experience by aligning the application’s appearance with your company’s branding.

Customize Header Prefix #

  1. In the Header Title field, enter the text that you want the application to display as a ‘prefix’ for the existing title in the application header.
  2. Click the Apply button to save the header title prefix.

Customize Logo #

If you are uploading the logo for the first time then, follow the procedure

  1. In the Custom Logo section, click the Browse button to choose a logo from your device.

  1. Select the uploaded logo from the Select Logo dropdown list.
  2. Click the Apply  button to save your changes.

If you have uploaded the logo previously, then follow the procedure,

  1. Select the uploaded logo from the Select Logo dropdown list.
  2. Click the Apply  button to save your changes.

Customize Header Gradient Color #

In the Header Color section do the following,

  1. Select the top color from the Top Color color palette.

  1. Select the bottom color from the Bottom Color palette.
  2. Click the Apply  button to Save the settings.

Customize Grid Color #

  1. From the Grid Color palette, select the color that you want to display for the grid in screens that display grid data
  2. Click the Apply button to save your settings.
